This policy explains what personal information Selec Group collects, why we need it, who we share it with and how long we keep it. We have tried to keep it short and in plain English. If anything is unclear, just ask.

What we collect and why
When you get in touch or ask for a quote
If you call, email, message us on social media, or use the booking button on our website, we collect your name, address, phone number, email address and the details of the work you are asking about. The booking form is run by ServiceM8, our job management system, so what you type goes straight into it.
We use this to reply to you, arrange a survey and give you a quote. If you do not go ahead, we keep your quote for a while in case you come back to us (see “How long we keep it”).
When we survey and do the work
For a job we also record things like photos and measurements of the property, details of your existing electrics, roof, meter and supply, the equipment we fit, test results, and notes from our engineers. Everything is kept against your job in ServiceM8.
We do not collect special category data (such as health information) unless you tell us about something that affects how we do the job, for example access needs. We only use that to do the job safely.
Certificates and scheme records
Most of our work has to be certified and registered by law or under the schemes we belong to. Depending on the job, that means:
- electrical installation and minor works certificates, and notification of notifiable work to your local authority building control through NAPIT (our competent person scheme)
- for solar and batteries, an MCS certificate registered on the MCS installation database, and our records under the Renewable Energy Consumer Code (RECC) and TrustMark
- notifying your electricity network operator (DNO) about solar, batteries and EV chargers, for example a G98 or G99 notification
- for air conditioning, F-Gas records of the system and refrigerant
- registering the equipment with the manufacturer so your warranty is in place
These records include your name, the property address and details of the installation.
Invoices and payments
We use Xero for invoicing and accounts. Invoices show your name, address, the work done and what you paid. Customers pay by bank transfer or card. Card payments are handled by our payment provider; we do not store full card numbers.
Email and phone
Emails, texts and call notes are kept in Microsoft 365 and in ServiceM8 so the whole team can see the history of your job. Occasional marketing emails to past customers are sent from our Microsoft 365 email (see “Marketing email” below).
Reviews
After a job we may ask you to leave a review on Google or another review site. Whether you leave one is up to you. Reviews you post are public on that site, and we show some of them on our website using a review widget (Trustindex).
When you visit the website
We collect limited information about how the site is used, such as pages viewed, rough location (town or region), device and browser type. This comes from the tools described under “Cookies and other technology on our website”. It does not tell us who you are. We do not take comments on the blog.
When you contact us on social media
When you contact us on social media or leave a review, we see whatever you choose to share on that platform.
Why we use it and our legal basis
| What we do | Legal basis under UK GDPR |
|---|---|
| Quote, book, survey, carry out and invoice your job, and do aftercare and warranty work | Contract, or steps you asked for before a contract |
| Register installations and certificates (for example NAPIT, MCS, RECC, TrustMark, the DNO, building control and F-Gas records) | Legal obligation, and contract |
| Keep accounting and tax records | Legal obligation |
| Deal with warranty claims, faults and complaints | Contract, and our legitimate interest in standing behind our work |
| Ask you for a review after a job | Legitimate interest |
| Send you occasional marketing email about our own similar services | Soft opt-in under PECR (see “Marketing email” below) |
| Use photos of finished work in our marketing | Consent (see “Photos of our work” below) |
| Keep the website working and secure, and count page views | Legitimate interest |
We do not sell your information, and we do not use it for automated decisions about you.
Marketing email
If you have bought from us or asked us for a quote, we may send you occasional emails about our own similar services, for example service plans, seasonal maintenance or changes to solar and battery schemes. These are sent from our Microsoft 365 email. This is allowed under the “soft opt-in” in the Privacy and Electronic Communications Regulations (PECR), and our customer terms and conditions have always said we may do this.
You can stop these emails at any time. Every marketing email has an unsubscribe option, or you can reply, email us or call 01480 400 607. Once you opt out, we stop straight away and we keep only enough to make sure you are not emailed again. Opting out does not affect emails about a job we are doing for you.
We do not sell, rent or swap your details with anyone for their marketing.
Photos of our work
With your permission, given when you sign off the job, we may use photos of the finished work in our marketing, including our website, social media and Google Business Profile. We don’t show house numbers, faces or number plates, and we may mention the village or town. Our lawful basis is your consent. You can withdraw it at any time by emailing office@selecgroup.com or calling 01480 400 607, and we’ll remove the photos from anything we control.
Who we share it with
We only share what each of these needs:
- Scheme and certification bodies: NAPIT, MCS, RECC and TrustMark, and building control through NAPIT
- Your electricity network operator (DNO) for solar, battery and EV charger notifications
- Manufacturers and suppliers, to register warranties, and suppliers who deliver equipment to your address
- Scaffolders: when a job needs scaffolding, we may share your address and access details with the scaffolding firm we use
- Our accountants, for tax and accounts
- Our insurers and legal advisers, if needed to deal with a claim or dispute
- Software and service providers who store data for us: ServiceM8 (job management and booking), Xero (accounts), Microsoft 365 (email), and Unlimited Web Hosting (UK) for the website. They act on our instructions and are not allowed to use your information for their own purposes. Jetpack (Automattic) is used for site statistics and security.
Some of these providers may store data outside the UK, for example in the United States or Australia. Where they do, we rely on the protections in UK law for international transfers, such as UK adequacy regulations or the UK’s approved contract clauses (the UK International Data Transfer Agreement or Addendum).
We may also have to share information if the law requires it, for example with HMRC.
How long we keep it
- Enquiries and quotes that do not go ahead: 2 years from our last contact, then deleted.
- Job records, certificates and installation records: at least 6 years (to match our workmanship guarantee), or longer where a scheme such as MCS or NAPIT, or a manufacturer warranty, requires it.
- Invoices and accounting records: at least 6 years from the end of the financial year they relate to, which is what HMRC requires of a limited company (gov.uk guidance).
- Marketing email list: until you opt out. If you opt out, we keep a suppression record so we do not email you again.
Cookies and other technology on our website
We keep our website simple. It does not use advertising or tracking cookies, so we do not show a cookie banner.
- Essential cookies only. If you log in to the site (staff only), WordPress may set cookies needed for that to work.
- YouTube videos do not load until you press play. Before that you only see a picture hosted on our own server. When you press play, the video loads from YouTube’s privacy enhanced mode (youtube-nocookie.com). From that point YouTube (Google) receives information such as your IP address and may store information in your browser, under Google’s privacy policy.
- Visitor statistics. We use Jetpack Stats (Automattic) to count page views. It does not set cookies on our site, but it receives your IP address, browser type and the page you visited in order to produce anonymous totals.
- Google Search Console. We use it to see how our site appears in Google search. It does not put anything on your device.
- Google Maps. Our contact page shows a Google Map, which loads from Google and receives your IP address.
- Reviews widget. Some pages show Google reviews through Trustindex, which loads from Trustindex’s servers and Google’s image servers and receives your IP address. In our checks it did not set any cookies.
- Booking form. The booking button takes you to ServiceM8’s booking page, which is covered by ServiceM8’s own privacy policy as well as this one.
We do not use Google Analytics or advertising pixels on this site.
We last checked which cookies our site sets in October 2026.
